About the Role
We are looking for an exceptional office all-rounder to manage the day to running of our Cairns administration hub where you will be the face of the LWB Cairns office. You will be responsible for greeting all visitors, including our clients who enjoy coming into the office regularly to see the teams.
You must be a highly organised individual with a passion for helping people and have the ability to pre-empt the needs of those you support. This will include making sure the office is running smoothly and efficiently while providing administrative support to all our LWB services that work out of the Cairns office.
The Administration Officer role is offered as a permanent full time position (Monday - Friday). Our Cairns office is a hive of activity so you must love a busy and lively work environment and be able to juggle multiple requests while being able to prioritise and manage your own workload.
Key Responsibilities
- Provide administrative support to the Managers and Client Services teams
- Reception duties such as answering incoming telephone calls and greeting visitors
- Schedule appointments, meetings and teleconferences and provide administrative support to those meetings when needed
- Coordinate meeting requirements - catering, room, equipment & document preparation
- Help Managers coordinate their diaries for team meetings and stakeholder meetings
- Support teams with onboarding new starters into the office, assist with arranging introductions with key staff and support functions and assist with systems training during induction
- Manage Fleet requests and ensure the good order of LWB vehicles and scheduling of maintenance in accordance with Fleet Management Policy and Procedures
- General day to day running of the office and maintaining the stock of administration supplies and kitchen
Skills & Experience
- Certificate III in Business Administration or previous relevant experience
- High level administrative skills and experience in providing support and assistance to management
- Ability to pick up systems and programs quickly and able support staff on training on new administrative systems and programs where needed
- Strong written and oral communication, interpersonal and customer service skills
- Ability to manage sensitive information and maintain a high degree of confidentiality
- Effective time management and organisational skills
- Demonstrated ability using Microsoft Office suite programs, particularly Excel and PowerPoint
- Current Australian Drivers Licence
Successful candidates will be required to clear QLD probity checks including National Criminal History Record Check and Working with Children Check.
